What we collect
- When you use the enquiry form: your name, company, email address, phone number (if you give it), the service you pick and anything you write in the message box.
- When you buy online: the details you enter at our Stripe checkout, as described below under Stripe.
- When you email or call us: your contact details and what you tell us.
- If you become a client: the information we need to do the work, such as company documents and details of staff, training and qualifications that you choose to send us for an application.
- When you visit the site: our hosting provider, Cloudflare, processes your IP address, browser details and the pages you request so it can deliver the site and protect it from attacks and spam.
How we use it, and our lawful basis
- To reply to your enquiry and give you a price. Basis: steps you've asked us to take before entering into a contract, and our legitimate interest in answering business enquiries.
- To deliver work you've bought from us. Basis: performance of our contract with you or your company.
- To keep accounts, tax and business records. Basis: legal obligation.
- To keep the website secure and stop spam. Basis: our legitimate interest in running a safe website.
We don't sell your data. We don't add you to a mailing list unless you ask us to, and we don't make automated decisions about you.
Who we share it with
- Cloudflare, which hosts the website, checks form submissions for spam (Cloudflare Turnstile) and forwards email sent to our rungwell.co.uk addresses.
- Stripe, our payment processor. When you buy online, Stripe takes the payment and issues the receipt and VAT invoice, and receives your name, company, email, phone number, billing address, any VAT number you enter and your card or payment details. We never see your full card number. Stripe's own privacy notice is at stripe.com/gb/privacy.
- Google, which provides the mailbox our email is delivered to, and Google Fonts, which supplies the typefaces on this site.
- Scheme and assessment bodies (for example CHAS or Constructionline), only when you ask us to prepare or submit an application for you.
- Our accountant, professional advisers and insurers, and public authorities where the law requires it.
International transfers
Cloudflare, Google and Stripe may process data outside the UK, including in the United States. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
Cookies and similar technology
We don't use advertising or analytics cookies.
- Security cookies: Cloudflare may set strictly necessary cookies (such as
__cf_bmorcf_clearance) to tell people apart from bots. - Spam check on the form: Cloudflare Turnstile checks your browser when you use the enquiry form, to stop automated spam.
- Google Fonts: your browser fetches fonts from Google's servers, which means Google receives your IP address.
- Your staff-band choice: the price list remembers the staff band you pick in your browser's local storage (under the name
cl-band). It stays on your device and you can clear it in your browser settings.
How long we keep it
- Enquiries that don't lead to work: up to 12 months after our last contact, then deleted.
- Client records and invoices: 6 years after our work for you ends, to meet tax and legal requirements.
- Website security logs: kept by Cloudflare for its own short retention periods.
Your rights
You can ask to see the personal data we hold about you, and ask us to correct it, delete it, restrict how we use it, object to how we use it, or send it to you or another organisation in a portable format. Email hello@rungwell.co.uk. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
